The Problem

Andres, owner of an Airbnb villa management agency, wanted an all-in-one tool that could manage all incoming messages, respond to customer queries, help visitors if they had issues with their stay , … and if possible also generate leads.

He wanted to get rid of all boring and time consuming tasks. He said one of his staff members was always busy handling messages on social media and Whatsapp, while he relied on her to do more business related stuff.

He wanted to expand his business but he didn’t want to hire more staff as this would implicate that he had to implement kind of an HR-department too.”

Proposed solution

We proposed to build a chatbot for all his social media profiles and Whatsapp. This would lighten the job of his assistant.

We discovered that all data and files to run his agency were scattered around on different places. We proposed to build a custom build CRM for him where everything was centralized. After considering a few options, we decided to go for Notion as his CRM platform.

We would start building an MVP for the chatbot and CRM. Then we will slowly start to systemize tasks and projects. 
Andres and his team never used a centralized system and never heard of Notion, so we decided to offer coaching for him and his team

Once they get used to Notion, we will start building a more complex and scalable system.

 

Scope

A chatbot that we integrated into their website, Whatsapp and Facebook

A daily summary of all messages (and questions) from the several bots

These chabots became lead generators by collecting email address and phone numbers from users. We set up an automated system in Notion to contact these users, leading to new people renting his properties

Their Google calendar was integrated in Notion and the chatbots, making it the only source for scheduling.

We streamlined (and automated) workflows in Notion, so now his staff knows exactly what they have to do (and when).

We are still having a weekly (online) meet-up were we discuss what can be automated or new features to implement.

Notion is now their only CRM, centralizing all documents.

Result

All clients questions are answered accurately and in a short time. And 24/7

Andres his agency received 27% more reservations compared to last year.

Andres saved money by not having to hire 2 FTE (Full Time Employees).

The staff is less stressed because they now know what is expected from them (and by when)

Andres has now more free time to do stuff he enjoys the most (quality time with his family, playing golf or padel)
